Create one timeline
Record the alert, first observed date, troubleshooting already performed and every contact. Add the case number exactly as issued and the email used to open it. Multiple disconnected tickets can make ownership of the next action unclear.
Attach system identity
Include the service address, site ID, inverter model and serial, monitoring screenshot and installer or service-provider contact. Redact unrelated personal information when sharing the log. A model family without a serial may not identify the affected unit.
Quote statuses accurately
Write “submitted,” “awaiting installer,” “parts review” or the exact status shown instead of saying the claim is approved. A case number confirms a record exists; it does not by itself establish warranty coverage, replacement authorization or a completion date.
Assign every next action
For each update, note whether SolarEdge, the equipment owner, the installer or another service company must respond. If a deadline is stated, record who stated it and on what date. Follow up through the official channel tied to the case.
Close with evidence
When work is completed, save the service report, replacement serial, monitoring result and case closure. If the issue persists, add new evidence to the same history. This gives the next technician more than a verbal statement that support was contacted.
